The Role
The Office & Facility Manager is responsible for ensuring the smooth operation of iwell’s office in Utrecht, providing essential support to the team and management. This role involves coordinating office activities, overseeing supplies and facilities management, and ensuring effective communication across departments. The Office & Facility Manager also assists with scheduling, event planning, and liaising with external vendors, contributing to a well-organised and efficient workplace. Additionally, you support the People & Culture team with administrative tasks, helping to maintain a positive and collaborative office environment aligned with iwell's values.
Key Responsibilities
Oversee the daily operations of the office, ensuring a well-organised and efficient workplace.
Demonstrate exceptional hospitality skills, ensuring a welcoming and professional environment for employees, clients, and visitors. Welcoming guests at the office.
Facilities management, such as key management, purchasing and inventory management of office supplies, handling correspondence, support for practical matters related to the vehicle fleet, being the point of contact for cleaning services, external suppliers and maintenance issues of the office building ect.
Ordering lunches, flowers, and other tokens of appreciation.
Serve as the main point of contact for all employees on office tasks, maintaining a professional and collaborative environment.
Manage the iwell company calendar, including organising (company) meetings, appointments, stand ups and events.
Telephony; purchasing and managing mobile phones.
ICT support; purchasing and setting up software & hardware for employees and acting as the first point of contact for staff regarding software requests, accounts, and issues with software or hardware.
Act as a true organiser who can handle multiple tasks simultaneously, ensuring smooth operations across all levels.
Requirements
You enjoy a neat and clean office environment, and don’t mind putting your sleeves up.
You are proactive with strong organisational skills.
You know G-suite. We work in G-suite, wireless everything, no internal emails - just Slack.
You are service-oriented, communicative, and flexible.
You enjoy communicating with both internal and external parties.
You enjoy managing administrative tasks for the team.
Fluent in Dutch.
Good command of the English language.

30 days yearly holiday to rest and recharge and a yearly company holiday
Hours: a full time (5 days per week / 40 hours) role. We can also consider 4 days / 32 hours.
Location: This is an on-site role, where all your time is spent in the iwell office so living close to the office is preferred.
