  • Location: Taipei (you should have the right to work there)

  • Hours: 32-40 hours per week

  • Start: 01.01.2025

  • Type of contract: Employer of Record (EOR) or freelance agreement

  • Duration: 6 months with possible extension based on performance and business needs

  • Deadline to apply: 28.11.2025. We will start 1st rounds of interviews in our Taipei office on week 49.

About your role

To help us grow our impact, we’re are looking for a proactive and highly organised People Specialist & Office Manager to support our Taipei office. In this hybrid role, you will ensure smooth office operations, coordinate local events, provide HR and recruitment support in close collaboration with our Amsterdam team, and offer day-to-day administrative support to the Director of Hardware. This position is ideal for someone who enjoys variety, takes initiative, and thrives in a fast-paced, international environment.

Key Responsibilities & Objectives

Key Objectives

  • Ensure smooth, efficient, and welcoming daily operations of the Taipei office.
    Maintain a well-organised workspace, oversee vendors, and ensure all facilities, supplies, and equipment support productive work.

  • Provide reliable HR support for the Taipei team.
    Deliver accurate payroll coordination, compliant HR administration, and a positive employee experience.

  • Strengthen collaboration between Taipei and Amsterdam.
    Support cross-office recruitment, communication, and alignment between teams.

  • Enable the Director of Hardware to operate effectively.
    Offer administrative support, meeting coordination, and follow-ups to keep activities on track.

  • Plan and deliver employee events that enhance culture and engagement.
    Organise team gatherings, workshops, and visits from international colleagues.

Your Key Responsibilities

Office Management & Operations

  • Oversee daily office operations and act as the primary point of contact for the Taipei office.

  • Manage vendors, supplies, equipment, and facility needs to ensure a productive work environment.

  • Coordinate office maintenance, security, and health & safety compliance.

  • Handle travel arrangements, meeting logistics, and general administrative tasks.

People & HR Support

  • Support local payroll processes in collaboration with external payroll providers.

  • Assist with HR and IT administration such as onboarding/offboarding, contract management, and employee records.

  • Provide local support for employee engagement and wellbeing initiatives.

  • Coordinate internal communications and act as a trusted point of contact for employees seeking HR support.

Recruitment Support

  • Collaborate closely with our People Team in Amsterdam to support recruitment for roles in Taipei and China.

  • Schedule interviews, manage candidate communication, and support the local hiring process.

  • Participate in employer branding or recruitment events as needed.

Support for the Director of Hardware

  • Provide administrative and scheduling support to the Director of Hardware.

  • Assist with meeting preparation, documentation, and follow-ups.

  • Support coordination between the Taipei hardware team and international teams.

Event Organisation

  • Plan and organise office events, team-building activities, workshops, and visits from international colleagues.

  • Coordinate logistics for external and internal events, ensuring smooth execution.

Core Activities

Office Management & Operations

  • Serve as the primary point of contact for all office-related inquiries.

  • Ensure the office is tidy, functional, and well-stocked with supplies.

  • Oversee vendors (cleaning, maintenance, IT support, etc.) and service deliveries.

  • Monitor office access, security, and basic health & safety compliance.

  • Coordinate meeting rooms, visitor logistics, and travel arrangements.

HR & People Support

  • Ensure accurate and timely preparation and submission of monthly payroll inputs to the external payroll provider.

  • Maintain accurate employee records, contracts, and HR documentation.

  • Support onboarding and offboarding processes (preparation of equipment, accounts, welcome materials, etc.).

  • Respond to day-to-day employee HR queries and escalate issues as needed.

  • Assist with local employee engagement activities and wellbeing initiatives.

Recruitment Coordination (with Amsterdam)

  • Schedule interviews and communicate with candidates.

  • Coordinate hiring steps with the Amsterdam People Team and local hiring managers.

  • Facilitate local assessments, onsite interviews, or candidate visits.

  • Ensure a positive candidate and employee experience.

Support to the Director of Hardware

  • Manage calendars, meetings, and travel planning as needed.

  • Prepare agenda items, documentation, and follow-up notes.

  • Support coordination between internal teams and external partners.

  • Assist with administrative tasks related to hardware projects (e.g., vendor paperwork, logistics, documentation).

Event & Culture Organisation

  • Plan and execute office events, team-building activities, and celebrations.

  • Organise logistics for international colleagues visiting Taipei.

  • Coordinate external workshops, supplier meetings, or community events.

Your Skills & Experience
  • At least 3 years of experience in HR, office support, or similar hybrid roles, preferably within tech, sustainability, or scale-up environments,

  • Excellent stakeholder and project management skills, multitasking, and communication skills.

  • Ability to work independently, handle confidential matters with discretion, and build strong relationships.

  • Experience working in an international environment is a plus.

  • A hands-on, proactive mindset and a passion for creating a positive workplace experience.

  • A passion for Fairphone’s mission and a deep interest in sustainable, ethical business

  • Excellent English skills (other languages are a plus)
